Job Description

Summary: The Administrative Assistant provides support to the administrative team by greeting persons entering Administration; answering telephones and performing secretarial/clerk duties as assigned, under the guidance of the Executive Assistant to the CEO. This position also supports projects with Marketing and other committees on an as needed basis. Principal Responsibilities: 1.Will participate and maintain a culture within The Corvallis Clinic that is consistent with the content outlined in the Service and Behavioral Standards Handbook. To this end, employee will be expected to read, have familiarity, and embrace the principles contained within. 2.Answer and screen telephone calls promptly in a professional, pleasant, courteous manner, takes accurate messages and directs calls to appropriate individual. 3.Accurately schedule meetings and keep the meeting room calendar up to date, communicate (via written schedule) with custodial staff concerning meeting room set up arrangements and prepare information for the weekly Clinic bulletin. 4.Complete mail merges (mass mailing for provider coming and goings) and distributions. 5.Oversees large patient mailing. 6.Responsible for maintaining employee data in the various required data bases. 7.Responsible for a variety of data base and statistical data gathering for required reports. 8.Records and maintains meeting agendas and minutes for various clinic committees as needed. 9.Greet all persons who come to Administration in a professional pleasant courteous manner, answer questions and guide to appropriate administrative staff person for assistance. 10.Distribute incoming administration mail and incoming faxes. 11.Responsible for the completion of various administrative tasks brought to the front desk on a daily basis, to include ordering and maintaining inventory on office supplies, supporting projects for the Marketing/PR Coordinator, Risk Manager, and Human Resources Department and any other project support on an as needed basis. Education/Licensure/Experience: Formal training in the reception/secretarial field and one (1) to three (3) years experience in an office support position. Knowledge and Skills: * Ability to perform general office procedures * Proficient in the use of Microsoft Office Suite, Adobe Pro, and ability to learn new computer programs * Ability to maintain confidentiality at all times * Ability to work well with providers and other staff * Ability to work on multiple tasks simultaneously in a busy, fast-paced environment while maintaining quality of work
