The Supply Chain Department has an opening for an Executive Administrative Assistant. This position is located in Tracy, CA. The Administrative Assistant is responsible for providing administrative support to multiple senior leaders across the department. This role acts as a department resource, representative and liaison to the business on programs, processes, and initiatives. KEY ACCOUNTABILITIES Maintain calendars of executives including the organization of meetings, video conferences and teleconferences. Make travel arrangements for Directors, VPs and related staff members as required. Provide support and assistance with expense reports and reimbursement for executives and department management as needed. In addition, provide back- up payroll support. Act as a department liaison to coordinate solutions for issues or complaints across the business. Escalate problems or roadblocks to management to get resolution and direction as needed. Assist with a variety of business reports for management. This includes collecting information from the departments and consolidating numbers to redistribute to the management team. Coordinate expenses with the accounting service center and answer any questions that they have on how to code certain expenses and to which department cost center. KNOWLEDGE AND EXPERIENCE Education Level: AA Degree preferred. H.S. Diploma or G.E.D. required. Experience Level: 2-4+ years experience providing high level administrative support in a senior executive environment. Able to perform all work efficiently and under pressure. Must possess strong interpersonal skills that includes customer service skills. Ability to work independently and prioritize. Must be detail-oriented and flexible in a rapid-paced corporate environment. Must have advance MS Office skills including Word, Excel, PowerPoint, and Outlook. Autonomously meets goals and deadlines. Demonstrated track record as proactive trusted advisor/thought leader in an organization, particularly around strategic issues to drive results. Balances the needs of multiple stakeholders while maintaining strong executive level partnerships. PHYSICAL ENVIRONMENT Sits for extended periods of time. Bending, stooping and twisting required periodically. Uses calculators, keyboards, telephone, and other office equipment in the course of normal workday. Workday is fast paced.
