Salary Range: $45k to $50K


This position is responsible for the day-to-day operations of the legal department. The Legal Assistant/Paralegal should be proficient at multi-tasking, intuitive, and excellent communicators with a keen interest in providing accurate and insightful support to the General Counsel and the Legal Department. The Legal Assistant/Paralegal is expected to work well under pressure and deliver on tight deadlines in a fast-paced environment, and must have a willingness to learn with good work ethics and attitude.


Essential Duties and Responsibilities of the position:


· Tracking trademark/patent due dates/deadlines send reminders, updating company trademark list. Any related trademark admin matters;

· Preparing draft trademark applications, submission specimen of use, and renewals for review, answering basic trademark questions from sales teams and corresponding with sales teams;

· Perform trademark products search and simple clearance search in the online and USPTO ID manual for product classifications;

· Handling and tracking insurance matters/requests;

· Checking certificate of insurance against customers/vendors Contract, liaise with outside insurance broker and internal departments regarding insurance requirements, obtain quotes;

· Keep and maintain legal documents (paper and electronic files) organized, filing, review contract for data input into contract management system; and pull files as needed and requested; maintain and handle confidential information;

· Perform online legal research, prepare PowerPoint, and organize and consolidate legal resources/materials;

· Perform intake and gathering preliminary information for legal matters;

· Review NDAs and other simple contracts as assigned;

· Internal data entry for payment requests, debit note processing for legal department; and correspond with related parties regarding data entry and debit note questions and requests;

· Responding to information/document/contract/audit request from various departments;

· Creating and updating excel spreadsheet information relating to contracts/audits/claims;

· Prepare/draft administrative documents, emails, correspondences;

· Perform document comparisons checking for errors/proofreading;

· Keep track of any deadlines, due dates, and maintain legal calendar;

· Collect and send reminders/follow-ups to cross functional teams for return of signed contracts and information requested from the legal department;

· Checking legal invoices for accuracy and rates;

· Process mails, and dropping mails off at post office or FedEx; and

· Perform any other administrative and legal tasks as assigned


Skills / Knowledge / Experience / Education needed to perform the job successfully:


· A high school diploma or general education degree (GED) required

· Associate's degree in paralegal studies, a paralegal certificate, or a Bachelor's degree preferred

· 1-3 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal

· Detail-oriented and highly organized

· Excellent verbal and written communication skills and professional demeanor

· Strong knowledge of Microsoft Office, including Word, Excel, and Outlook

· Ability to work independently and work as a team, manage large workloads, and keep deadlines

· Trademark and insurance experience is highly preferred but not required, will train.
